UDC Consortium takes customer privacy and the security of customer information seriously.

The General Data Protection Regulation came into force on 25th May 2018 and provides data protection and privacy rights to citizens of the European Union.

This privacy policy outlines the following regarding your personal information:

  • What we do with your personal data;
  • Who we share that data with;

  • And how we comply with the data protection rules.

We are the UDC Consortium, a not-for-profit organization based in The Hague, the Netherlands, that owns and manages the Universal Decimal Classification.

What Personal Data do we collect from you?

Personal data means any information relating to you which allows us to identify you, such as your name, contact details and information about your access to our website.

We collect personal data from you when you register for UDC Online, use UDC Online, or when you contact us.

Specifically, we may collect the following categories of information:

    a. Name, postal-address, e-mail address;
    b. Information about your use of the UDC Online website;
    c. Communications with us via email and in writing.

What do we use your data for and what is the legal basis for doing so?

We will only process your personal data where we have a legal basis to do so. The legal basis will depend on the reasons we have collected and need to use your personal data for.

    a. Providing products and services you request from us;
    b. Emailing you regarding your UDC Online subscription;
    c. Administrative or legal purposes: we use your data for statistical analysis, systems testing, or maintenance and development.

We rely on our contractual arrangements with you as the lawful basis on which we collect and process your personal data when you register for UDC Online. In some cases, we rely on our legitimate interests as a business (for example, for administrative purposes and to troubleshoot customer issues). Where we rely on our legitimate interests, we will always make sure that we balance these interests against your rights.

We will not retain your data for longer than is necessary to fulfil the purpose it is being processed for. To determine the appropriate retention period, we consider the amount, nature and sensitivity of the personal data, the purposes for which we process it and whether we can achieve those purposes through other means.

When we no longer need your personal data, we will securely delete or destroy it.

Who do we share your data with?

We do not share your information with anyone for marketing purposes.

Exceptionally, we may share your personal data with legal and other professional advisers, law courts and law enforcement bodies in all countries we operate in in order to enforce our legal rights in relation to our contract with you, for the purpose described in this Privacy Policy.

International Data Transfers

Some of the service providers we share your data with are not located in the European Economic Area (EEA), such as the USA. While countries outside the EEA do not always have strong data protection laws, we require all services providers to process your information in a secure manner and in accordance with EU law on data protection.

Your Data Protection Rights

Under certain circumstances, by law you have the right to:

    1. Know if we hold any of your personal information and the reason for holding it;
    2. Receive a copy of the personal information we hold about you;
    3. Request a correction of the personal information that we hold about you, whether that be inaccurate or incomplete information;
    4. Ask us to delete personal information where there is no good reason for us continuing to process it;
    5. Object in certain situations to our continued processing of your personal data;
    6. Restrict or temporarily stop our processing of your personal data in certain circumstances;
    7. Request transfer of your personal information in an electronic and structured form to you or to another party.

Access to your personal information is free, however we may charge a reasonable fee for administrative costs if your request for access is excessive.

We may update this Privacy Policy in the future and and publish any comments on the website.
